Student Event Proposal

A skilled and resourceful team of Ursinus staff is waiting to help you set the stage for a successful event. Start planning by completing (in order) the 3 steps below.

  1. Complete the Student Event Proposal Form 
  2. Consult with a Leadership Consultant in Student Activities.
  3. Reserve Your Space. Once your event is approved by the Student Activities Office, it’s time to reserve your space in the EMS system and request resources and advertise.

Event Planning 101

Timeframe: Allow at least 2 weeks lead time to make sure resources are available when you need them.

Facilities - From tables and chairs to trashcans and custodial services and everything in between, contact Facilities Services Coordinator, Liz Robb.

Technical Support - Lights, camera, action. Put on a really big show and make sure you have microphones, speakers, lights, banners and projectors and screens where you need them, plus a professional staff to make sure everything runs smoothly. Contact Tech Support for assistance.

Catering - Don’t guess who’s coming to dinner…or what’s being served. If you are planning an on campus meal, contact Dining Services to review your options.

*Remember if you are arranging meals for an event you’ll need to reserve a dining venue as well as arrange for a suitable menu.


Submit your event to our web calendar here. From there, College Communications will back up your efforts by including your event listing in Good Morning Zack and on social media.

You can also make a slide for our campus monitors or print posters.
