Event Planning Overview
Date & Time:
Check campus calendars to see what events are already scheduled that might compete with your event for resources and audience.
Spaces:
All available campus spaces can be scheduled through EMS. If you have questions about scheduling a space, contact SpaceRequests@ursinus.edu.
Quick Tip: We suggest factoring set-up and break-down time into your space reservation.
Note: Some spaces require additional staff and resources. Please plan for these requests to take additional time to be processed. See the list of special spaces below:
A skilled and resourceful team of Ursinus staff is waiting to help you set the stage for a successful event. Place your requests at least 2-3 weeks in advance to make sure resources and staff are available.
Quick Tip: When placing a request for support services include:
- Event Name
- Event Date
- Event Time
- Event Location (if in person)
- Event Planner Name & Contact Information (must be present for event)
- Resources & Support Requested
- Set-up & Break-down Time for Resources & Support

Catering - If you are planning an event with food and beverages please go through our on campus Catering Office.
Quick Tip: Remember if you are arranging meals for an event you’ll need to reserve a dining venue as well.

When thinking about your event try to identify your key audience. Sometimes an event can draw multiple audiences, which can require different tactics.

- “Good Morning, Ursinus” pulls event details from the campus events calendar
- Create a slide for campus video displays
- Design a poster
